Surplex Live Auction — buyer strategy for industrial machinery
Surplex is one of Europe's largest auction houses specialising in industrial machinery. Unlike Maschinensucher, where auctions resemble the eBay model, Surplex runs genuine live auctions — with an auctioneer, countdown, and real-time pressure. For the buyer, this is an entirely different experience that demands a different strategy. This guide covers preparation, tactics, and the costs most buyers overlook.
How a Surplex live auction works
Surplex organises themed auctions — for example "Metalworking North Rhine-Westphalia" or "Factory Liquidation Bavaria". Each auction has a fixed date and start time. Bidding happens online in your browser — no special software required.
The auctioneer presents lots one by one. Each lot has a starting price and minimum bid increments (e.g., EUR 50, 100, or 500 depending on value class). You have a few seconds to place your bid. If nobody raises, the auctioneer closes: "Going once, going twice, sold!"
Key difference from Maschinensucher: Surplex does not use automatic extension. When the auctioneer says "sold", the lot is closed. Clicked too slowly? Tough luck. A stable internet connection and pre-set limits are the absolute minimum.
Pre-auction preparation
The auction catalogue typically appears 2-3 weeks before the event. Review it thoroughly. Surplex publishes photos, technical descriptions, and — crucially — condition reports (Zustandsbericht) for most machines. These reports are reliable because Surplex produces them in-house and stands behind their accuracy.
Inspection day: Surplex schedules 1-2 inspection days before the auction. You visit the hall where the machines are stored and can inspect them, power them on (if connected), and assess condition. This is free and essential for any machine above EUR 5,000.
Set your limits beforehand: For each lot you are interested in, define a maximum price. Include Surplex commission (typically 15-18% + VAT on the commission), transport, and any dismantling costs. If your all-in limit is EUR 20,000 and the commission is 18%, your maximum bid is approximately EUR 16,000 net.
Live bidding strategies
Early entry: Bid immediately when the lot opens. This signals determination and can discourage hesitant competitors. Risk: it may also provoke aggressive counter-bidding.
Wait and strike: Hold back until the final 10-15 seconds. Many buyers drop out when they see no activity — assuming the lot is "unpopular". Then you enter with your bid and often win without serious competition. Risk: the auctioneer may close faster than expected.
Blocking strategy: If you have a large budget and the machine is critical, bid aggressively from the start with minimal pauses between bids. The goal is to psychologically exhaust the competition. Use this only for machines you truly need.
In practice, the best approach is a combination: patience on less important lots, aggression on key machines. And always — stick to your pre-set limit without exception.
Commissions and hidden costs
Surplex charges a buyer's commission — this is their primary revenue source. The standard rate is 15-18% net of the hammer price (Zuschlagspreis). VAT is added on top of the commission (19% in Germany).
Example: you buy a CNC milling machine for EUR 15,000. Commission at 18% = EUR 2,700. VAT on commission (19%) = EUR 513. Total purchase cost: EUR 18,213 — and transport comes on top of that.
Additionally: if the machine requires dismantling (e.g., a hydraulic press anchored into the floor), Surplex may offer dismantling for an extra fee or leave it to the buyer. Check the conditions for each lot individually.
Transport and collection
Surplex typically gives the buyer 10-15 business days after payment to collect the machine. Exceeding this deadline triggers storage charges — EUR 50-150 per day depending on machine size.
The platform offers its own transport service (Surplex Transport), but prices are typically 20-30% above independent freight forwarders. Comparing quotes is worthwhile. For shipments to Poland, you need specialist heavy-machinery haulers — not every logistics company handles 8+ tonne loads.
Dismantling, loading, and transport insurance are your responsibility. Surplex is not liable for damage after the hammer falls.
